Information Specialist

At Couto Homes, the “Couto Way” emphasizes a seamless, transparent, and relationship-driven approach to homebuilding — one built on trust, clear communication, and customer satisfaction from the very first interaction. The Information Specialist plays a critical role in this process, serving as the first point of contact for potential homeowners and setting the stage for lasting partnerships.

As a key member of the sales team, the Information Specialist is often the first impression of the Couto brand. Whether through walk-ins, website inquiries, phone calls, emails, or social media messages, this individual ensures every interaction reflects professionalism, warmth, and the high standards our customers have come to expect.

This position bridges marketing and sales, helping customers navigate early stages such as builder selection, site evaluation, financing, and feasibility — ultimately transitioning them smoothly to a Home Specialist for contract development. The Information Specialist combines sales acumen with customer coaching, ensuring each prospective homeowner feels informed, supported, and excited about building their dream home the Couto Way.

The ideal candidate is personable, organized, and proactive, with exceptional communication skills and a genuine passion for helping others. They understand that sales success begins with trust, and that every detail — from a prompt response to an accurate note in the CRM — contributes to a superior customer experience.

Key Responsibilities

Customer Engagement

  • Serve as the first introduction to Couto Homes, personifying the professionalism, care, and integrity of the Couto brand.

  • Engage with customers through walk-ins, phone calls, emails, website submissions, and social media inquiries.

  • Maintain consistent, timely, and thorough communication with all prospective customers.

  • Ensure information requests receive proper, complete, and prompt responses.

  • Apply lessons learned from past customer interactions to improve future engagements and outreach efforts.

  • Use multiple channels (website, CRM, social media, and other platforms) to maintain customer relationships and nurture new opportunities.

Customer Assistance & Coaching

  • Actively listen to customers to understand their goals, lifestyle, and priorities.

  • Provide guidance on community features such as schools, property taxes, and commute times.

  • Educate customers on “hidden costs” of building to ensure realistic financial expectations.

  • Coach customers through early-stage decisions involving feasibility, site prep, financing, and floor plan selection.

  • Offer ballpark pricing estimates, site selection advice, and finish/feature options to help customers understand cost vs. value.

  • Develop a near-final project profile prior to handoff, including:

    • Target budget

    • Property details and prep requirements

    • Floor plan selection

    • Identified options

    • Financing pre-approval

    • Series and model of home selected

  • Provide decision packages and design data to guide customers through each step of the Couto process.

Team Collaboration & Delivery

  • Work closely with Home Specialists, Design Specialists, Operations, and other internal partners to ensure smooth transitions from inquiry to contract.

  • Facilitate seamless “baton passing” by ensuring all customer information is accurate, organized, and ready for contract development.

  • Collaborate with team members to resolve customer concerns and ensure alignment across departments.

  • Support internal operations through administrative duties as needed, including phone coverage, filing, inventory upkeep, and maintaining a customer-ready office environment.

Ongoing Engagement

  • Maintain consistent outreach efforts to meet monthly sales targets and sustain a strong customer pipeline.

  • Balance business volume goals with the suitability of customers for the Couto Way.

  • Identify when a potential customer may not be a suitable fit, or Couto Homes may not be the right fit for them — always prioritizing the customer’s long-term satisfaction and company values.

Administrative & CRM Management

  • Create and manage customer timelines in Couto Cloud Outreach (CRM), ensuring complete and accurate records.

  • Maintain a library of sales materials and ensure information is up to date.

  • Monitor and document all customer communication and follow-ups to support team efficiency and customer satisfaction.

Qualifications

  • Strong communication and interpersonal skills with a focus on professionalism, empathy, and problem-solving.

  • Proven ability to manage multiple customer interactions and deadlines in a fast-paced environment.

  • Experience in customer service, sales support, or residential homebuilding preferred.

  • Excellent organization and attention to detail, particularly in data management and CRM documentation.

  • Confident in discussing budgets, financing, and homebuilding basics with customers.

  • Self-motivated, approachable, and adaptable to the changing pace of customer engagement.
